Before you start

  • A Windows computer with the classic Outlook app signed in to each mailbox you are moving, to export it as a .pst file.
  • Access to your domain’s DNS, for the ownership record now and the MX record at the end.
  • Keep Microsoft 365 active until every mailbox is imported and checked.

The move, step by step

  1. Add your domain to GINbox and create a mailbox for each person. Mail keeps arriving at Microsoft meanwhile.
  2. Publish SPF, DKIM and DMARC for GINbox, merging GINbox into your existing SPF record. See SPF, DKIM and DMARC explained.
  3. Export each mailbox in classic Outlook for Windows: File → Open & Export → Import/Export → Export to a file → Outlook Data File (.pst). Choose the mailbox, tick “Include subfolders”, and save.
  4. Upload it in the GINbox admin panel: open the mailbox, Manage → Import from a file. Choose whether mail goes into the matching folders or is kept apart under Imported. GINbox imports every folder and message, checks the count, and deletes the file when it is done.
  5. Switch MX to GINbox once every mailbox is imported. See how to change an MX record. Mail that reached Microsoft between your export and the switch can be exported and imported again: messages already in GINbox are not doubled.
  6. Connect Outlook and phones to the new mailbox: Outlook, iPhone, Android. Then cancel the Microsoft 365 licences you no longer need.

Only a few people need Microsoft 365?

Keep the people who rely on Teams or Exchange on Microsoft 365, and move everyone else to GINbox. Split delivery lets both share your domain, so you pay Microsoft only for the seats you need.

Questions people ask

Why can’t GINbox just sign in to my Microsoft 365 mailbox with a password?

Microsoft has switched off password sign-in for mail apps on Microsoft 365, so a password-based copy no longer works. Today the reliable way is an Outlook data file (.pst). A one-click Microsoft 365 connection is coming.

How big can the .pst file be?

Up to 20 GB per file. The upload goes in small pieces and picks up where it stopped if your connection drops. Larger mailboxes can be exported in two or more files, for example by date.

I have Outlook for Mac. Does it make a .pst?

Outlook for Mac exports .olm files, which GINbox cannot read. Export from Outlook on a Windows computer instead, or write to us and we will suggest the simplest route for your mailboxes.

Can I keep using the Outlook app?

Yes. Outlook connects to GINbox with standard IMAP and SMTP settings on Windows, Mac and phones. Calendar and contacts live in the GINbox webmail and sync to phones.

Can some people stay on Microsoft 365?

Yes. With split delivery a few people can keep their Microsoft 365 mailboxes while everyone else moves to GINbox, on the same domain.
