Before you start
- A Google Workspace super administrator to allow GINbox in the Google Admin console. It takes about two minutes.
- Access to your domain’s DNS, usually where you bought the domain, for the ownership record and, at the end, the MX record.
- Keep your Google subscription active until the move is finished and checked.
The move, step by step
- Add your domain to GINbox and prove you own it with one TXT record. Mail keeps arriving at Google meanwhile.
- Publish SPF, DKIM and DMARC for GINbox (the admin panel shows them). Merge GINbox into your existing SPF record rather than adding a second one. See SPF, DKIM and DMARC explained.
- Open Move mail in the GINbox admin panel. It recognises Google Workspace from your domain’s records.
- Allow GINbox in your Google Admin console: at admin.google.com, go to Security → Access and data control → API controls → Manage Domain Wide Delegation, click Add new, and paste the Client ID and the two read-only scopes the panel shows. Click Authorise. Google can take a few minutes, sometimes up to an hour, to apply it.
- Enter your Google administrator’s address and connect. GINbox lists the people on your domain; choose a mailbox size for each and start. Copying runs in the background, and GINbox checks that every message arrived.
- When we email you that everything is copied, switch MX to GINbox. See how to change an MX record. GINbox keeps collecting late mail from Google for three days, then ends the move and forgets your Google connection.
- Remove the GINbox entry from Domain Wide Delegation in the Google Admin console, reconnect phones (iPhone, Android), and cancel the Google licences you no longer need.
What moves, and how it looks
| In Gmail | In GINbox |
|---|---|
| Inbox, Sent, Drafts, Spam, Trash | The matching folders |
| Your labels (including nested labels) | Folders (and nested folders) |
| Archived mail (no label) | Archive |
| Read / unread, starred | Kept as they were |
| Categories (Promotions, Social…) and Important | Not folders in Gmail either; the mail itself is in Inbox or Archive |
Questions people ask
Does everyone need to give their Google password or an app password?
No. Your Google Workspace administrator allows GINbox once in the Google Admin console, with read-only access. GINbox then copies each person’s mail without anyone’s password.
What happens to Gmail labels?
Each label becomes a folder, nested labels become nested folders, and mail with no label (archived mail) goes to an Archive folder. A message with two labels appears in both folders, as it does in Gmail. Read and starred marks come across too.
Are Google Drive, Docs, Calendar and Contacts moved?
No. The move copies email. Keep a Google account for Drive and Docs files, or download them before you cancel Workspace.
Can some people stay on Google Workspace?
Yes. With split delivery a few people can stay on Google Workspace while everyone else moves to GINbox, on the same domain.
What about mail that arrives during the move?
Mail keeps arriving at Google until you change the MX record. GINbox copies new mail again every day until then, and for three days after the switch, so nothing is left behind.
