This page explains how to have your data deleted from GINbox — the business email service, its webmail and its Android and iPhone apps — what is deleted, and what is kept and for how long. The full details are in our Privacy Policy.
1. If your mailbox was given to you by your company
Your mailbox belongs to the business that set it up, so its administrator decides when it is deleted.
- Ask your company's GINbox administrator to delete your mailbox.
- If you cannot reach them, or you want us to help, write to info@ginbox.net from your mailbox's address with the subject "Delete my data". We contact the business and help them answer your request.
You can delete your own mail, contacts and calendar events at any time in the webmail or the apps; deleted items stay in Trash for 30 days and are then removed for good.
2. If you run a GINbox account (administrators)
To delete one person's mailbox:
- Sign in to the admin panel at admin.ginbox.net.
- Open your domain and the Mailboxes tab.
- Next to the mailbox, choose Manage → Delete, then Delete mailbox.
The mailbox stops working at once. Its mail can be restored for 30 days; after that it is deleted for good.
To close your whole account and delete everything in it: write to info@ginbox.net from the account owner's email address with the subject "Close my account and delete my data". We confirm the request with you before we act, then delete your domains, mailboxes and their mail, contacts and calendars, and your account. We reply within 30 days of receiving your request.
3. What is deleted, and what is kept
| Data | What happens |
|---|---|
| Mail, contacts and calendars | deleted; a deleted mailbox can be restored for 30 days, then it is gone; backup copies expire within 35 days after that |
| Account, domains and mailbox settings | deleted with the account; the details you registered with (email, name, legal name, GSTIN, domain names) are kept 180 days after that, as Indian law asks of email services, then deleted |
| Calendar and contacts copies on your phone (Android sync) | removed from the phone when you turn that sync off, sign out of the app, or remove the app |
| Delivery records (sender and recipient addresses, time, result — never subjects or content) | kept for 1 year, then deleted |
| Security records (sign-in times, network, device type) and the administrative activity log | kept for 1 year (activity log: 2 years), then deleted |
| Billing records and invoices | kept for 8 years, because tax and accounting law require it |
| Support conversations | kept for 2 years, then deleted (a few we must keep longer, such as letters from authorities, are set aside) |
