The short answer: which provider for which business
| Your business | A good fit | Why |
|---|---|---|
| Your team lives in Google Docs, Sheets and Meet | Google Workspace | Email, documents and video meetings in one bundle, with Gmail’s interface. |
| Your team lives in Word, Excel, Teams and SharePoint | Microsoft 365 | Email together with the Office apps, Teams and SharePoint, and Outlook as the mail app. |
| You already use Zoho’s other apps (CRM, accounting) | Zoho Mail | Email that sits inside the Zoho suite, with a low entry price. |
| You want email only, in rupees, with a free move and no renewal surprise | GINbox | Per-mailbox sizes from 5 GB to 10 TB, from ₹49 a month, no introductory price that jumps at renewal, a GST invoice, and a free move. |
| Privacy above everything, including end-to-end encryption | A privacy-first provider such as Proton Mail | Built around encryption, with fewer business features. |
The rest of this guide explains how to decide. If you are leaving a specific provider, we have written what changes for Google Workspace, Microsoft 365 and Outlook and Zoho Mail.
Seven things to check before you choose
- Your own domain. Addresses like priya@yourcompany.in look professional and stay yours if you change provider. A free address does neither.
- Mail that arrives. Ask whether SPF, DKIM and DMARC are set up for you, and how the provider protects its sending reputation. Mail without these is far more likely to land in spam at Gmail and Outlook, and a provider whose reputation is poor puts every customer’s mail at risk.
- A price you can predict. Check the price at renewal, not only the first year. Some hosts advertise multi-year offers that rise sharply when you renew. Check whether storage is per mailbox or pooled with documents and photos, whether GST is shown separately, and whether you can pay monthly.
- Protection by default. Two-step sign-in, virus and phishing scanning, limits that stop one stolen mailbox from hurting everyone, and an activity log for the admin.
- The apps your people use. Standard IMAP and SMTP settings mean any mail app works. Check the webmail on a phone, and what happens to calendars and contacts.
- Moving in, and out. Can the provider move your old mail for you, and check that every message arrived? Can you export all your mail whenever you like? A provider that makes leaving hard is telling you something.
- Accountability. Is there a person you can write to, a public status page, backups, and a clear statement of where your data is stored? Be wary of any provider that will not say.
Mistakes small businesses make
- Staying on free email too long. Customers notice, and you lose the address if the account is closed.
- Buying on the first-year price. Add up three years at the renewal price before you decide.
- Skipping the DNS records. Without SPF, DKIM and DMARC, even correct mail goes to spam. A good provider lists each record and checks it for you.
- Having no plan for old mail. Years of messages are an asset. Decide how they move before you switch the MX record.
- One shared password. Give each person their own mailbox and two-step sign-in; use shared mailboxes for sales@ or support@.
- Not asking where data is kept. If your clients or regulators care, get the answer in writing.

Questions people ask when choosing business email
What is the best business email solution for a small business?
It depends on how your team works. Google Workspace suits teams that live in Google Docs and Meet, Microsoft 365 suits teams that live in Word, Excel and Teams, Zoho Mail suits teams already using other Zoho apps, and an email-first service such as GINbox suits teams that want email only, with simple pricing and a free move. Whichever you pick, check the seven points in this guide.
Is a free Gmail address good enough for a business?
It works, but you do not own the address, it carries no company name, and some customers trust it less. Business email on your own domain costs little (GINbox starts at ₹49 a mailbox per month) and the address stays yours if you change provider.
How much should business email cost?
Providers’ Indian price lists in October 2026 ranged from under ₹100 per mailbox per month for email only to ₹270 or more for full office suites with documents, storage and video meetings, usually before GST. Compare the renewal price, not only the first-year price.
Do I need my own domain for business email?
Yes. Business email means addresses at your own domain, like priya@yourcompany.in. Register a domain with any domain registrar and add it to your email provider.
Can I switch business email provider later without losing mail?
Yes, if you plan it. A good provider copies every folder and message from your old one and checks that nothing is missing, and lets you export your mail whenever you like. Ask about both before you buy.
